Pinpoint Diagnostics Group ("Pinpoint", "we", "us" or "our") is responsible for personal information under its control. This policy explains how we handle personal information when you visit pinpointinspections.ca, contact us, request an assessment or receive our inspection and diagnostic services.
We handle personal information in accordance with applicable Canadian privacy laws, including British Columbia's Personal Information Protection Act, the federal Personal Information Protection and Electronic Documents Act, and other provincial privacy laws where they apply to our work. Information we collect
Enquiries submitted through our website forms are delivered by email to our team and may also be stored in our website's form submission records. We collect information you provide when you contact us, request a quote, arrange an inspection or communicate about a project. This may include:
- Your name, organisation, email address, telephone number and business or mailing address.
- Your role, service interests, property address and information about the building or concern you want assessed.
- Enquiry messages, correspondence, prior inspection records and documents you choose to provide.
- Project contact details, access arrangements and information needed to coordinate the agreed work.
- Billing details, invoices, transaction records and payment status.
Please provide only information relevant to your enquiry or project. Do not use the general enquiry form to send passwords, payment card details or unnecessary sensitive personal information.
Our inspections may also produce photographs, drone imagery, thermal imagery, measurements and reports. Property data is not always personal information, but it can become personal information when it identifies an individual or is linked to them. People, vehicles and neighbouring properties may be incidentally visible in imagery. We plan flights and image capture to focus on the subject property, operate drones in accordance with Transport Canada requirements, and consider these privacy impacts when using or sharing project records. If you believe you are identifiable in imagery we captured, please contact us using the details below.
When you visit the website, technical services may collect information such as your IP address, browser or device information, pages visited, referring page and the time of a request. The website technologies section below explains this collection in more detail.
How we use information
We use personal information for purposes related to the enquiry, relationship or service, including to:
- Respond to questions and prepare proposals or quotes.
- Arrange site access, communicate with project contacts and provide agreed services.
- Prepare and deliver inspection findings, imagery and reports to authorised recipients.
- Manage invoicing, payments, records and follow-up about an existing project.
- Operate, secure and maintain the website and business systems.
- Understand website usage and improve relevant website content and services.
- Address complaints, establish or exercise legal rights, and meet legal obligations.
We do not use an enquiry as blanket permission to add you to an ongoing marketing list. Promotional electronic messages are sent only when we have an appropriate consent or another lawful basis. Where required, these messages include a way to unsubscribe. Necessary responses to enquiries and communications about an active engagement are handled separately from optional marketing.
Consent and choices
We identify the purpose of collecting personal information and obtain appropriate consent where required. The form of consent depends on the information and the circumstances. We may also collect, use or disclose information without consent where the law permits or requires it.
You can decline to provide optional information or contact us to discuss the information needed for a service. If required information is unavailable, we may be unable to respond fully or perform the requested work.
You may withdraw consent by contacting our Privacy Officer, subject to applicable legal or contractual restrictions and reasonable notice. We will explain any effect this has on an ongoing service. Withdrawal does not require us to remove records that we must lawfully retain.
When information is shared
We do not sell personal information or share it with third parties for their advertising purposes. We may disclose information for service delivery, administration or lawful requirements to:
- Personnel and contractors who need it to perform the agreed inspection, reporting or administrative work.
- The client and recipients authorised for the project, such as its property manager, consultant or insurer, within the agreed scope and lawful authority.
- Service providers that support hosting, website security, email, document storage, website analytics, customer relationship management, business administration or payment processing.
- Professional advisers assisting with legal, accounting or related business matters.
- Public authorities or other parties where disclosure is legally required or otherwise lawfully permitted.
We limit disclosure to the purpose and seek appropriate protections when providers process information on our behalf. A client's instruction alone does not authorise disclosure of another person's information where additional consent or legal authority is required.
We do not automatically make identifiable client records or project imagery public for marketing. Any such use requires an appropriate permission or other lawful authority.
Website technologies and statistics
The website uses WordPress and related services to operate its pages and enquiry form. Hosting and security services may record technical requests to maintain the site, prevent abuse and investigate problems.
The website includes Automattic/Jetpack statistics technology. Depending on the enabled features, this technology can process IP addresses, browser information, page and referring URLs, event times and approximate country information. A visitor who is signed into WordPress.com may also have account identifiers processed by that service. Pinpoint uses available statistics to understand website activity; aggregate reports do not necessarily show all data processed by the provider. More information is available in Jetpack's privacy documentation and Automattic's Privacy Notice for Visitors.
The website also uses Google Analytics, through the MonsterInsights plugin, to measure website traffic and understand how visitors use our pages. Google Analytics uses cookies and similar technologies to collect information such as pages viewed, referring sites, device and browser type, approximate location and interactions with the site. This information is processed by Google and may be stored outside Canada. More information is available in Google's explanation of how it uses information from sites that use its services. You can opt out of Google Analytics using the Google Analytics opt-out browser add-on.
We use OptinMonster to display on-site messages and sign-up forms. If you submit information through one of these forms, such as your name or email address, we use it for the purpose stated on the form. OptinMonster may use cookies or local storage to remember whether you have seen or closed a message. More information is available in OptinMonster's Privacy Policy.
Our website is delivered and protected through Cloudflare, which processes technical request information such as IP addresses to deliver content, defend against attacks and filter malicious traffic. More information is available in Cloudflare's Privacy Policy.
Cookies and similar technologies may support website functions, preferences and measurement. You can manage cookies through your browser. Blocking some technologies can affect site functions, and cookie controls may not prevent every type of technical logging.
For questions about a website technology or assistance with privacy choices, contact us at info@pinpointinspections.ca. We will update this policy when new features materially change how personal information is collected or used.
Service providers and international processing
Information may be stored or processed by service providers in Canada or other countries, depending on the systems used for the activity. Information processed in another country may be subject to that country's laws and lawful government access. We remain responsible for information transferred for processing on our behalf and use appropriate measures for that relationship. Contact us for more information about providers relevant to your enquiry or engagement.
Retention
We retain personal information for as long as reasonably needed for the purpose for which it was collected and to meet applicable legal, accounting, contractual and legitimate recordkeeping requirements. Relevant factors include whether an enquiry is active, the status of an engagement, the nature of inspection records, applicable retention obligations and any ongoing dispute or legal hold.
When information is no longer needed, we take appropriate steps to delete, securely dispose of or anonymise it. Copies in backups may remain until the relevant backup cycle expires, subject to appropriate safeguards. You can ask our Privacy Officer about retention of a particular record.
Safeguards
We use reasonable organisational, technical and physical safeguards appropriate to the sensitivity of the information. These include limiting access to people who need information for their work and selecting suitable measures for our systems and service providers. No website, email system or storage method can be guaranteed completely secure. If an incident occurs, we assess it and follow applicable notification and response requirements.
Access and correction
You may request access to your personal information under our control, ask about its use or disclosure, or request correction of inaccurate information. Contact us using the details below. We may need reasonable information to verify your identity and locate the relevant records.
We respond within the time required by the applicable law, subject to lawful extensions or exceptions. Access may be limited where the law permits or requires it, including where disclosure would reveal another person's protected information. We will explain the reason where required. A request to delete information is assessed against applicable rights and our lawful retention obligations.
Children
Our website and services are intended for property owners, property managers and business clients. They are not directed to children, and we do not knowingly collect personal information from children through the website.
External websites
Our website may link to websites operated by other organisations. Their privacy practices are governed by their own notices. Review those notices before providing personal information to them.
Policy changes
We may update this policy when our practices or legal requirements change. The current version will show its effective date. Where a change requires additional notice or consent, we will address that requirement before using information for the new purpose.
